Copperopolis Fire Protection District
Position: District Secretary
Employment Type: Full-Time or Part-Time
Salary Range: $18.38 – $28.00 per hour (DOE/Qualifications)

About the District
The Copperopolis Fire Protection District is an “all-risk” emergency services agency serving the communities of Copperopolis, Lake Tulloch, Bar XX, Circle XX, and Diamond XX subdivisions within Calaveras County. The District protects approximately 187 square miles in the Sierra Foothills and operates two staffed fire stations 24 hours a day, 365 days a year. In 2025, the District responded to approximately 825 fire and EMS incidents.
Scope of Employment
Under the direction of the Fire Chief, the District Secretary plans, organizes, and conducts a wide variety of responsible clerical and administrative activities and performs other duties as assigned by the Fire Chief and Board of Directors.
The District Secretary serves in multiple capacities including:
- General Secretary
- Office Manager
- Bookkeeper
- Receptionist
- Board Clerk
The Secretary composes correspondence independently on matters not requiring the personal attention of the Fire Chief; prepares reports and letters; organizes and maintains records; orders office supplies; and handles day-to-day administrative operations.
As the first point of contact for the public, the Secretary is expected to provide excellent customer service by answering phones, greeting visitors in a professional and friendly manner, providing information, and helping resolve concerns while maintaining a positive image of the District.

- Vacation accrual:
- Full-Time: 6.67 hours per month
- Prorated for 25-hour/week employees: 4.17 hours per month
- Maximum accrual: Two years
- Sick Leave accrual:
- Full-Time: 14.44 hours per month
- Prorated for 25-hour/week employees: 9.03 hours per month
- Unlimited accrual; converts to retirement service credit
- Paid holidays pursuant to District Policy 2.10.080
Minimum Qualifications
Applicants must possess:
- Minimum age of 18 years
- High school diploma or equivalent with business experience
- Knowledge of Special District operations and governance
- Government employment experience highly desirable
- Proficiency with:
- Microsoft Word
- Windows operating systems
- Spreadsheet and database software including Excel and Access
- Ability to analyze data and draw logical conclusions
- Ability to follow oral and written instructions
- Strong English grammar, spelling, and vocabulary skills
- Effective written and verbal communication skills
- Typing speed of at least 50 WPM
- Strong public relations and customer service skills
- Knowledge of modern office procedures and practices
- Ability to independently manage administrative details
- Ability to maintain cooperative relationships with coworkers and Board members
- Valid California Driver’s License
- Reliable, insured, and properly registered vehicle
- U.S. citizenship or legal authorization to work in the United States
Examples of Duties
Duties include, but are not limited to:
- Recording, transcribing, editing, and distributing Board and staff meeting minutes, agendas, and packets
- Processing bills, payments, deposits, and maintaining multi-budget financial ledgers
- Maintaining official Board and District records
- Preparing correspondence, reports, memorandums, resolutions, and requisitions
- Managing District financial accounts
- Using Calaveras County accounting systems to prepare transmittals and research billing issues
- Preparing annual, semi-annual, and quarterly reports
- Managing strike team, overhead, and Assistance-by-Hire invoicing and records
- Assisting with preparation of the District annual budget
- Answering telephones and assisting the public, agencies, organizations, and employees
- Maintaining employee records including time sheets, evaluations, insurance, workers’ compensation, vacation, and sick leave
- Performing payroll and personnel functions
- Operating computer systems for accounting, payroll, databases, spreadsheets, and word processing
- Conducting internet research and maintaining online records
- Preparing and submitting CalPERS payroll reports and payments
- Maintaining and updating SAM registration
- Maintaining the District website and social media platforms
- Filing official correspondence, contracts, agreements, and financial records
- Evaluating and improving office procedures and operations
- Maintaining accurate operational files for all District functions
- Coordinating annual audits with the District’s independent auditor
- Maintaining personnel files
- Opening and distributing mail
- Participating in special projects and additional duties as assigned
